WHAT WE ARE LOOKING FOR:

We are seeking a proactive and detail-oriented Associate Project Manager to join our Creative Services team. The Associate Project Manager (APM) will play a critical role in supporting the planning, monitoring, execution, and delivery of creative projects within our in-house creative agency. This individual will act as the liaison between the creative team, internal stakeholders, and external vendors, ensuring projects are delivered on time, within scope, and aligned with brand standards. The APM will also assist in maintaining workflows, managing resources, and fostering clear communication to achieve project objectives.

KEY RESPONSIBILITIES:

Project Coordination:

  • Support the project management team in defining project scopes, timelines, and deliverables.
  • Create and maintain project schedules, ensuring deadlines and milestones are met.
  • Monitor project progress, addressing potential risks or delays with appropriate stakeholders.
  • Manage the intake, prioritization, and organization of creative asset requests, ensuring clear communication of timelines and expectations.
  • Oversee projects with deliverables such as packaging, digital design, photography, social, and video across multiple brands.
  • Ensure the accurate delivery and archiving of completed creative assets.
  • Proactively identify and troubleshoot project roadblocks or conflicts.

Cross-Functional Collaboration:

  • Collaborate with functional teams to support business process changes that require organizational adjustments.
  • Participate in cross-functional and departmental meetings to provide project updates and gather insights.
  • Interface with internal clients to gather project information, coordinate timing, provide updates, and set expectations.
  • Facilitate regular check-ins with creative teams and stakeholders to ensure alignment and resolve issues.
  • Document meeting notes, action items, and project changes for effective communication.
  • Escalate critical issues, risks, or resource constraints for resolution.

PMO Optimization and Administration:

  • Prepare special reports, SOP documents, and assist with department projects as needed.
  • Help implement and maintain project management tools and processes.
  • Identify opportunities to streamline workflows and improve project efficiency.
  • Ensure adherence to creative production timelines and standards.
  • Assist in aligning external vendor capabilities with current and future project requirements.
  • Provide administrative support for contract reviews and vendor negotiations.

KNOWLEDGE / ABILITIES:

  • Proficiency in project management tools and methodologies (e.g., Agile, Waterfall, MS Project, or equivalent).
  • Strong communication and organizational skills for data analysis and presenting actionable insights.
  • Familiarity with organizational work processes and the ability to support business changes.
  • Strong organizational and time management skills to ensure projects stay on track.
  • Excellent interpersonal skills to collaborate across teams and influence stakeholders.
  • Detail-oriented and capable of thriving in a fast-paced, dynamic environment.
  • Proven ability to manage competing priorities effectively while meeting deadlines.

BASIC QUALIFICATIONS:

  • BS/BA degree in Business Administration, Project Management, Operations, or a related field (highly preferred).
  • Minimum 2 years of prior experience in project coordination or project management in any industry (required).
  • Agency experience preferred
  • Experience in consumer-packaged goods (CPG) or creative services is a plus.

PAY RATE: $34-$40/hr

** Work is performed in a fast-paced office environment and may be stressful at times. Work may require sitting for long periods of time; requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier and fax machine and scanner.
